Position Summary
The Executive Assistant will report directly to the Chief Operating Officer and provides a wide variety of comprehensive administrative duties to support the Executive Leadership Team. The EA is responsible for resolving complex and often confidential administrative issues in addition to completing routine administrative functions effectively, efficiently, and timely. The EA must be poised, polished and professional and serve with a high level of integrity and excellence. The EA also assists with daily office functions to ensure company efficiency meets organizational standards.
Key Responsibilities

  • Inputs and submits expenses for Director's and above in the company's travel and expense management system.
  • Proactively manage executive calendars to accommodate shifting priorities and independently schedule business meetings, lunches/dinners, events, etc.
  • Compose, prepare, and manage confidential correspondence, reports, presentations, and other complex business documents.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with.
  • Arranges travel plans and compiles itineraries and documents for travel-related meetings.
  • Perform multiple tasks simultaneously and communicate with all levels of management.
  • Build relationships with peers and other stakeholders (internal and external).
  • Assist with incoming mail review and distribution process.
  • Ensure amenities are restocked.
  • Run office errands as needed.
  • Provide backup support to the Administrative Coordinator and Office Manager from time to time as business needs arise.
  • Perform other duties as required which are reasonably within the scope of the activities enumerated above.

    Requirements and Qualifications

    • High School Diploma or GED.
    • 2-4 years' experience working in customer service, administrative support, or similar role.
    • Prior experience working in an office environment preferred.
    • Able to work Monday-Friday. Must be flexible to work earlier or later when required.
    • Excellent verbal and written communication.
    • Maintain confidentiality of highly sensitive information.
    • Equivalent combination of education and experience will be considered.
    • Timely and regular attendance.
