The Operations Associate reports to the Chief Operations Officer
and serves in a multifunctional role providing clerical support
across several operational departments including: Receptionist,
Panel Building, Data Integrity, and Medical Access. This position
has a strong emphasis on the receptionist job duties and requires a
strong customer focus, attention to detail/accuracy, time
management, and flexibility. The Operational Associate plays an
integral role in ensuring quality service delivery to both internal
and external customers.Essential Job Functions NOTE: the Operations
Associate may be assigned to perform the duties of any or all of
the following functions in addition to other duties as assigned.
However, the main focus of this position will be the receptionist
job functions: 1. Receptionist:Greets visitors, vendors, clients,
etc.; orders and stocks office, cleaning, toiletry, and coffee
supplies; maintains / cleans break areas - coffee machines,
refrigerators, microwaves, oven, and sink/counters; answers main
company phone, routes calls, and distributes incoming faxes / mail
and/or packages; orders meals for scheduled vendor/client meetings
and ensures conference rooms are set up/clean2. Data
Integrity:Calls 125+ provider offices per day and researches via
internet to verify/obtain their accurate demographics and updates
PHS database with changes; monitor and respond to emails from
providers with demographic updates and make changes in the PHS
database; answers questions and/or routes provider/office staff
questions to appropriate staff/management3. Panel
Building:Receives, logs, builds, and maintains accurate medical
provider panels (worksite posters) for PHS workers' compensation
clients; confirms, validates, and updates provider, facility, and
hospital demographics; completes and logs all Client requests 4.
Medical Access Associate (MAA):Locates participating California
Medical Provider Network (MPN) providers for injured workers of PHS
Clients; coordinates with the injured workers' adjusters / nurse
case managers to schedule appointments for the injured workers;
includes faxing paperwork, confirming appointments, and
communicating details to the requesting party; understands
regulations of California MPN and tracks all physician appointments
in Phoenix; responds within 24 hours to all calls, faxes, or
messages; works with Data Integrity to update provider demographics
and with Provider Relations regarding providers who are no longer
accepting Workers' Compensation patients
Requirements:
Must possess a High School Diploma or GED; an Associate's or
Bachelor's Degree in Business or related field of study from an
accredited college or university is preferred2 years of clerical /
customer service work experience in a health care related
environmentDemonstrated proficiency in Microsoft Office Suite
(Word, Excel, PowerPoint, Outlook)CompetenciesAbility to function
effectively in a deadline driven environmentExcellent communication
skills (written and oral) and the ability to effectively,
concisely, and logically exchange information Organized, detailed
focused, and ability to multi task Demonstrate tact, diplomacy, and
confidentiality when dealing with others and managing sensitive
issuesPhysical RequirementsThis is a sedentary role, however while
performing the duties of this job, the employee is regularly
required to talk or hear and is frequently required to sit, stand,
walk, use hands to finger, handle or feel; and reach with hands and
arms. Some light lifting may be required (i.e., the ability to lift
files, open filing cabinets and bending or standing on a stool as
