Dispatch Coordinator

Job Description:

What is a Dispatch Coordinator? The Dispatcher participates in all transportation and logistics needs. This includes the Transportation Management System (TMS), which works with Operations, supply chain, and customer service to ensure all deliveries are met to customer satisfaction. Daily duties as assigned by Transportation Director and Dispatch Supervisor. This position is also responsible for participating in weekly transportation reviews, monitoring the accuracy of orders entered, and responsible for resolving any unloading or invoicing issues with their shipments. Each team member needs to ensure the proper equipment is available and correct pricing is applied to shipments. Each team member is responsible for ensuring all orders are picked up able to deliver to the customer on time. SPECIFIC FUNCTIONS AND RESPONSIBILITIES (but not limited to any of these functions and responsibilities as required)

  • Daily Freight Reporting (25%)
  • Ensure all sales orders PPD & C match freight rates that are arranged and make necessary changes to avoid wrong charges being applied to shipment.
  • Assisting in Unloading shipments and when needed, Freight charge disputes.
  • Daily Dispatch duties (45%)
  • Ensure that all orders are assigned to the proper region/carriers matching carrier lane to the customer and are handled by end of the business day as required.
  • Ensure that all orders are picked up and delivered as requested and communicate any delays by updating the TMS system and notifying CSR or required groups.
  • Customer service issues (5%)
  • Work with Customer Service to ensure orders are entered correctly and are able to be executed successfully by the Transportation team.
  • Troubleshoot any issues and communicate any problems as soon as possible.
  • Production (10%)
  • Perform daily tasks timely and efficiently as assigned by Transportation Director and Transportation Supervisor.
  • Reach out to Supervisor and Transportation Director if they need assistance or are unable to complete any of their daily tasks. Perform assigned duties according to Transportation Work Instructions for each task - and communicate any problems or delays as needed. Minimum Qualifications: 1) 3 - 5 years experience in transportation / ERP / TMS /AX Logistics required. 2) Bachelor's Degree, preferably in Business or supply chain management. 3) Demonstrated initiative, pride in work, and strong work ethic. 4) Possess attention to detail with a strong customer focus. 5) Strong organization and time management skills and ability to effectively multi-task as required. 6) Solid written and oral communication skills. 7) Proven skill at working within a team and collaborating with other departments. 8) Proven analytical and problem-solving capabilities. 9) Able to thrive in a fast-paced work environment. 10) Intermediate computer skills with strong Excel/Access knowledge and capabilities. 11) Knowledge of Microsoft AX programs is a plus.
